Submission claim and Invoicing by Staff
- When a claim is submitted, the status of the claim will change to Pending.
- Select the pending claim by clicking on the checkbox on the left.
- Click on Approve.
- Then, click on Confirm from the Approve confirmation pop-up window.
- If you have several pending claims, you can select all of them and approve all at the same time.
- Once you have approved your claims, they are now ready for invoicing.
- Click on Invoices from the left navigation panel.
- Next, click on New invoice.
- In the New invoice drawer, select the Project of your submission claims.
- The approved claims will appear in the drawer once the project is selected.
- Select all the claims by clicking on the checkboxes and click on Issue invoice.
- Click on Confirm from the Issue invoice confirmation pop-up window.
- Once the invoice is issued, the status of the invoice will change to Pending. They are now awaiting for approval from the Headquarter.
- User with Headquarter role can view the invoices from the Invoices page. Click on the dropdown button on top to filter invoices by Agency or by Staff.
Submission claim and Invoicing by Agency
- When a claim is submitted by an Agency staff, the status of the claim will change to Pending. This means that the claim is now awaiting for approval by either an Agency admin or a leader.
- On the Agency admin or leader’s Submission claims page, they will see New submission claim records.
- As an Agency admin or a leader, check and verify each New claim before approving them.
- To approve a claim, select the claim by clicking on the checkbox on the left.
- Click on Approve.
- Then, click on Confirm from the Approve confirmation pop-up window.
- You can also select all of them and approve all at the same time.
- Once you have approved the claims, they are now ready for invoicing.
- Click on Invoices from the left navigation panel.
- Next, click on New invoice.
- In the New invoice drawer, select the Project of your submission claims.
- The approved claims will appear in the drawer once the project is selected.
- Select all the claims by clicking on the checkboxes and click on Issue invoice.
- Click on Confirm from the Issue invoice confirmation pop-up window.
- Once the invoice is issued, the status of the invoice will change to Pending. They are now waiting for approval from the Developer.
User with the Developer Headquarter role will be able to view the issued invoice on his or her side.
